Farm Manager Privacy Policy

Little Roots Farm Manager · Updated 16 October 2026

This policy covers the Little Roots Farm Manager desktop application and its optional Gmail connection. The application is operated by Little Roots Farm in Tasmania for authorised farm operators.

Information used by the application

Farm Manager stores the farm records entered or imported by its operators, including customer contact details, deliveries, invoices, statements and inventory. When Gmail is connected, Google provides the connected account’s email address and authorisation tokens. Farm Manager does not receive or store the Google account password.

When an operator requests an invoice draft, Farm Manager sends the selected recipient and sender details, subject, message and invoice PDF to Google’s Gmail service. Google returns identifiers for the created draft and message. Farm Manager stores a local history of the draft request, its contents, account, time, status and identifiers so operators can audit requests and avoid duplicates.

Google permissions and purpose

The Google connection identifies the connected email account and creates the invoice drafts explicitly requested by the operator. Google labels the required Gmail permission “Manage drafts and send emails”. Farm Manager uses it to create drafts; it does not automatically send emails or fetch inbox messages, contacts or unrelated Gmail content. The operator reviews and sends the message in Gmail.

Storage and protection

Farm records and draft history are stored in the local Farm Manager database. Authorisation credentials are encrypted using the Windows account’s credential protection and stored separately from the database. They are excluded from Farm Manager’s portable app package and database backups. Connections to Google use HTTPS.

Operators control access to the computer and its backups. Invoice records and draft history may remain in local backups and audit history until those copies are removed. Google stores the drafts and any messages subsequently sent through Gmail under its own service policies.

Sharing and limited use

The Gmail integration sends data to Google to perform the requested draft operation. It does not sell Google user data, use it for advertising or use it to train general-purpose artificial intelligence models. Farm Manager’s use of Google API data follows the Google API Services User Data Policy, including its Limited Use requirements.

Authorised operators may access locally retained records for the farm’s administration and support. The Farm Manager application does not upload the farm database to this public website.

Your choices and removal

Gmail is optional. Use “Disconnect on this PC” in Farm Manager’s Email settings to remove its saved account tokens from that installation. You can also revoke the app’s access in your Google Account connections. Disconnecting does not delete existing Gmail drafts or local invoice and audit records. Manage Gmail copies in Gmail. Contact Little Roots Farm for help accessing, correcting or removing retained local data, including relevant backups, subject to records the farm must retain.
